Registration & Fees

All participants are required to make the registration via ConfTool online registration system then proceed for the payment according to the below given instructions under the category they belong to.

Registration fee includes:

  • attendance to welcome reception on 9th Dec
  • entrance to all conference sessions, and lunch talks (if any)
  • refreshments and coffee breaks
  • attendance to closing ceremony
  • proceedings in usb

# Student registration is applicable only to current full-time students and those who have student status at the time when they submit the extended abstract for the Conference. They need to submit evidence of their students' status on registration upon request.

Paper Fee

Paper fee for attending author's 2nd paper HK$1,800 (~USD231) If a single author writes more than one paper, the author has an option to pay for the 2nd paper to be included in the proceedings (no oral presentation will be made). However, if he/she wishes to present his/her 2nd paper in the conference, a separate registration has to be made (i.e. selecting "Conference Registration Fee for Presenting 2 Accepted Papers" during online registration in this case).

 

 



Registration Guidelines

1. All attendees and presenters must pay registration fee.

2. All presenters must pay either a three day a Professional or a Student Registration Fee.

3. To register the author accepts the terms that the work submitted is original and has not been published previously.

4. At least one author of every accepted paper (short / long paper) to be presented and included in the proceedings (i.e each paper requires a registration) must register to the conference by 23:59 pm, 17 Nov 2018 (Hong Kong local time) . Failure to register will result in automatic withdrawal of the submission from the conference proceedings and programme.

5. One registration only allows for one paper to be presented by one delegate only. One registered delegate may present up to two papers, provided the presenter is a co-author on both papers and both papers are registered separately.

6. Payment of registration fees can only be made by credit card and it should be done via the ConfTool website. No registration will be confirmed until payment is received.

7. Fees for pre-conference workshop, technical tour and conference dinner are non-refundable, regardless if you participate or not.

8. In Conftool online registration system, registrants cannot edit or delete the registration data once they confirm to pay for the registration. Thus, please check carefully before paid.

9. By registering for the conference participants agree that the organisers do not accept responsibility for medical, travel, property loss, or personal insurance. Participants are advised to take out their own insurance policies.

 

Cancellation and Refund Policy:

1. Notification of cancellation must be made in writing on or before 23:59 pm, 17 Nov 2018 (Hong Kong local time) by emailing reg@plea2018.org.

2. For cancellation later than 17 Nov 2018, no refund will be given.

3. 90% refund of registation fees paid will be made after the Conference. The remaining 10% of the fee contributes to administration costs incurred.

4. Cancelled papers will not be published in Proceedings and will not be invited in special issue.  

5. Participants who do not cancel and do not attend will not be eligible for refund.

6. For payments received by credit card, the same credit card will be refunded.

7. In the event that the conference cannot be held or is postponed due to events beyond the control of the Conference Organisers, such as war, strikes, natural disasters, weather conditions, or any other cause beyond the control of the Conference Organisers, the Conference Organisers cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc. Under these circumstances, the Conference Organisers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the participants after deducting costs already incurred for the organisation of the Conference and which could not be recovered from third parties.

 

Letter of Invitation for Visa

1. Visa requirements are different according to each country. Visitors to Hong Kong must hold a passport that is valid for at least six months before the planned departure date to Hong Kong. Visitors from most countries are not required to obtain visas and can stay for periods varying from 7 days to 180 days, depending on nationality. Please check the web site of the Hong Kong Immigration Department and the Chinese embassy or consulate to find out whether you need to apply for an entry visa to Hong Kong.

2. If participant needs a letter of invitation to apply for a visa to attend the Conference, please send the following information to reg@plea2018.org:

  • Your name as it appears in your passport (First and Middle Name, Last Name or Family Name)
  • Date of Birth
  • Nationality
  • Passport number
  • Date of Arrival
  • Your position
  • Your affiliation/organization
  • Your email address for receiving the letter

3. Please note that letter of invitation will only be sent to participants who have registered and paid for the Conference. Should participants withdraw from the conference after the issue of Letter of Invitation, the consulate will be notified of the withdrawal accordingly.

4. In case you failed to acquire a visa to attend the Conference, you may make a request for refund in writing on or before 23:59 pm, 17 Nov 2018 (Hong Kong local time) by emailing reg@plea2018.org. This issues will come under the consideration of cancellation policy.
